Why we process your contact details

We process professional contact details of journalists, editorial teams and operators of journalistic specialist media for our press and media relations. The purposes are:

  • researching media outlets and editorial contacts relevant to a particular topic;
  • providing occasion-specific information about Simpleum products, releases and company matters;
  • answering editorial questions and providing requested materials or test access;
  • documenting previous professional contacts, responses and publications;
  • respecting an objection to further press outreach.

Data we process

Depending on the contact, we process:

  • name, media outlet and professional role;
  • professional email address or official contact channel;
  • country, language and publicly stated editorial topics;
  • source and date of our contact research;
  • factual relevance of the topic to the outlet;
  • contact, response and publication status;
  • an objection to further press information.

We do not use private contact details, special categories of personal data or person-specific open or click tracking. We do not make decisions about individuals based solely on automated processing.

Sources of the data

We obtain contact details primarily from:

  • official contact, legal notice, author and editorial pages;
  • publicly designated press, tip or submission channels;
  • previous direct professional correspondence;
  • other publicly available information provided by the relevant media outlet.

You may ask us for the specific source of a researched personal contact address.

We rely on Article 6(1)(f) GDPR to administer professional press contacts. Our legitimate interest is factual corporate, press and media communication and responding to editorial enquiries.

Our assessment considers the professional context, specific editorial relevance, reasonable expectations of the person concerned, the source of the address and previous contact. Press contacts are not combined with our newsletter subscriber system.

The permissibility of an email contact is also assessed under the applicable electronic marketing and communications rules.

Recipients and service providers

Within Simpleum, access is restricted to people responsible for management, press communication or handling privacy requests.

We use technical email and hosting service providers where required for operation, delivery, security and backups. Our current email hosting is provided by Strato AG in Germany. Press contacts are processed in access-restricted internal systems and are not transferred to our newsletter system without a separate decision.

When communicating with a press contact outside the European Economic Area, an email is delivered to the recipient’s chosen destination system. We do not otherwise intentionally disclose press-contact data to third parties or international organisations unless required for a requested service or by law.

Retention

We review the accuracy and necessity of press-contact data at least annually and before each new campaign. Research, selection and assessment data is generally deleted or anonymised no later than 24 months after the last relevant professional contact where there is no current editorial relevance or continuing professional relationship.

After an objection, we may retain a minimal suppression record containing the email address, objection status and date. It is used solely to prevent renewed press outreach. No additional contact or assessment data is required for this purpose.

Actual correspondence is treated separately. Where messages qualify as commercial or business letters subject to statutory retention, the current standard retention period is six years from the end of the relevant calendar year. Statutory evidence obligations or the establishment, exercise or defence of legal claims may require a different or longer period of restricted storage in an individual case. Where a legal dispute is pending or reasonably anticipated, deletion of the required records may be suspended under a documented legal hold.

Your rights

Subject to the applicable legal requirements, you have the right to:

  • access your personal data;
  • rectify inaccurate data;
  • request erasure or restriction of processing;
  • data portability where applicable;
  • lodge a complaint with a data protection supervisory authority.

Objection to press outreach

You may object at any time to the processing of your personal data for further press outreach. Simply email press@simpleum.com. After your objection, we will no longer use your data for further press information and will retain only the minimum suppression record where this is lawful and necessary to ensure that your objection continues to be respected.

Right to lodge a complaint

You may lodge a complaint with a data protection supervisory authority. The supervisory authority responsible for our registered office is the Hamburg Commissioner for Data Protection and Freedom of Information.
